I'm planning to buy a second license to the system to use on my laptop in order to view reports and real-time restaurant's data. But I cannot find any instructions in the help file on how to use it and how it works.

Please read step-by-step instructions here:
http://www.abacre.com/restaurantpos/manual/network.htm

It's explained how you can organize access in local network. But you can access your database file "outside" of your local network.

I am setting the path as:

\\202.XXX.XXX.XX\D\arpos.mdb

The IP is correct and D is shared. Still I get the error that database file not found. What am I doing wrong?

From the command line you could incrementally verify the network share:

(1) type: start \\xxx.xxx.xxx.xxx to "open" the computers network browser window
(2) type: start \\xxx.xxx.xxx.xxx\D to open the database directory
(3) copy files to the database directory to see whether you have write access.

Of course you could as well check the "security" and "sharing" properties of the shared folder on the remote machine. When you connect you need essentially either a local account on the remote machine or you need to using an Active Directory environment for authorization. Additionally the sharing properties must also be set properly with read and write access.
